Administrative Internship – Finance & IT, Hotel Arts 5* Barcelona
ADMINISTRATIVE INTERNSHIP – FINANCE & IT
The administrative internships are aimed at students of last year courses who want to do an internship at the Management level, assisting a hotel leader. Due to the transversal nature of the administrative departments, the students will interact with the different departments of the hotel, acquiring a global and a wide vision of the hotel business.
The administrative internships in the Finance & IT department include the performance of at least two positions among the following:
Account Receivable:
- Preparation of the Daily Financial Reports
- Daily payment control
- Bank reconciliation
- Control of commissions and bonds of Travel Agencies
- Resolution of incidents with guests
- Preparation of proforma invoices for future groups
Income Auditor:
- Preparation of the Daily Financial Reports
- Control of daily charges
- Preparation of Revenue reports for the Finance Director
- Preparation of daily reports for the Executive Offices
- Control of the internal cashier
- Control of internal adjustments, sales and promotions
Purchasing:
- Prepare purchase orders
- Prepare Daily Purchase Reports for the Finance Department
- Inventory control
- Reconciling Invoices and Purchase Notes
- Negotiation with Suppliers
- Prepare monthly closures
- Controlling and monitoring the purchasing processes of all departments
IT (Information Technology):
- Verification of guest incidents related to the IT department.
- Request and “follow-up” of access identifiers to the network through Marriott International.
- Delivery (documented) and verification of network access accounts.
- Configuration and/or installation of applications (Outlook, Acrobat Writer, etc.) or patches.
- Physical installation and changes in location of computers or other components (including reception, storage and delivery).
- Hardware troubleshooting (PCs, Micros, Internet and telephone), notice to maintenance companies, “follow-up” and temporary resolution (change of equipment) or final.
- Archive (user registrations/cancellations, orders/delivery, notes/invoices, price changes, programming changes, access control, etc.)
- Deletion of computer data, printers, and obsolete phones.
- Realization of Inventories and monitoring of the status of purchase orders with suppliers.
REQUIREMENTS:
- Minimum of six months internship
- Preferably previous operational experience in a luxury hotel
- Intermediate level of Spanish
- Advanced level of English
